Responsibilities

The Role

As a Practice Assistant, you will play a key role in ensuring the smooth running of the legal team by providing comprehensive administrative and organisational support. You will work closely with lawyers, clients, and internal departments, acting as a trusted point of contact and helping to deliver an exceptional client experience.

Your Responsibilities

  • Provide daily administrative support to Partners, Counsel, and Associates.
  • Manage complex calendars, coordinate meetings, and organise travel arrangements.
  • Prepare, format, proofread, and amend legal documents, presentations, and correspondence.
  • Handle document management, electronic filing, and record keeping in accordance with firm procedures.
  • Coordinate client communications and respond to enquiries in a professional and timely manner.
  • Assist with billing processes, time entry, expense reports, and invoice follow-up.
  • Organise conference calls, virtual meetings, and client events.
  • Support lawyers with the preparation of transaction closing documents and corporate files where required.
  • Liaise with internal departments, including Finance, HR, IT, and Business Development.
  • Ensure confidentiality and maintain the highest standards of professionalism at all times.

Profile

Your Profile

  • Previous experience as a Practice Assistant, Legal Secretary, Executive Assistant, or Administrative Assistant, ideally within a law firm or other professional services environment.
  • Excellent organisational skills with the ability to manage multiple priorities and meet tight deadlines.
  • Strong attention to detail and a proactive, solution-oriented mindset.
  • Outstanding communication and interpersonal skills.
  • High level of discretion when handling confidential information.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Fluent in English; French is highly desirable. Additional languages such as German, Luxembourgish, or Spanish are considered an asset.
